Privacy Policy

1. Who we are

ServiceLine AI (“we,” “us,” or “our”) operates ServiceLine AI, an AI receptionist platform for HVAC service companies. This Policy explains how we collect, use, share, and retain information when you visit our sites, create an account, or use the Service.

2. Information we collect

Account and organization data. Name, email, organization name, role, billing status, and settings you configure (hours, service area, scripts, transfers).

Call and messaging data. Call metadata, transcripts (when enabled), summaries, booking outcomes, SMS/email notification content related to calls, and — only when you enable recording — audio handled through our voice provider with short-lived authorized playback links.

Customer / caller data you process. Names, phone numbers, addresses, service requests, and similar details captured during calls or synced from connected tools (for example Jobber or Cal.com). You determine what is collected based on your configuration.

Billing data. Subscription and payment status via Stripe. We do not store full card numbers on our servers.

Technical data. Logs, device/browser information, IP address, and security/audit events needed to operate and protect the Service.

3. How we use information

  • Provide, maintain, and improve the Service (answering, booking, sync, dashboard, support)
  • Authenticate users and enforce role-based access within your organization
  • Process subscriptions, trials, invoices, and usage metering
  • Send transactional notices (invites, booking confirmations, operational alerts)
  • Detect abuse, debug incidents, and secure accounts
  • Comply with law and enforce our Terms

We do not sell personal information. We do not use your call content to train public foundation models for unrelated third parties.

4. How we share information

We share information with:

  • Your team — members you invite, per their roles
  • Service providers — including Supabase (auth/database), Retell (voice), Cal.com (scheduling), Jobber (CRM sync when connected), Stripe (payments), Twilio (SMS), Resend (email), and hosting infrastructure
  • Legal / safety — when required by law or to protect rights, safety, and security

If you connect third-party accounts, data flows according to those connections and the providers’ policies.

5. Recordings, transcripts, and retention

Recording storage defaults off; transcript storage defaults on and is configurable. Retention defaults are typically about 90 days unless you configure otherwise. Authorized roles can request export or deletion. Canceled accounts may retain limited export access for a grace period, then data may be removed.

6. Cookies and similar technologies

We use cookies and similar technologies for authentication, session security, and essential product function. Analytics or marketing cookies, if added later, will be described here.

7. Your choices and rights

Organization owners and admins can update settings, manage members, and use export/deletion workflows where available. Depending on your location, you or your end customers may have rights to access, correct, delete, or restrict certain personal data. Submit requests through your account admin or your support channel. We may need to verify the request and, for caller data, redirect it to the HVAC company that collected it as the business operator.

8. Children

The Service is for business use and is not directed to children under 16. We do not knowingly collect personal information from children.

9. Security

We use technical and organizational measures appropriate to a multi-tenant SaaS product (authentication, role checks, encrypted credentials, webhook verification). No method of transmission or storage is 100% secure. Details are summarized on Security.

10. International transfers

We and our providers may process data in the United States and other countries where those providers operate.

11. Changes

We may update this Policy and will post the revised version with an updated date. Material changes may also be communicated in-product or by email when appropriate.
